This policy explains how Thames Rental Ltd (company no. 17242912, registered office 20 The Hawthorn Centre, Elmgrove Road, Harrow HA1 2RF) uses your personal information. We are the “controller” of your information under UK data protection law (UK GDPR and the Data Protection Act 2018). Questions? Email sales@thamesrental.co.uk.
What we collect
- When you apply or contact us: your name, mobile number, email (if given), whether you have a PCO licence, when you want to start, the car you're interested in, and which advert or website sent you to us.
- If you rent a car: your driving and PCO licence details, proof of address and the documents in your rental agreement. Card payments are handled by our payment provider, Elavon — we never see or store your full card number.
- When you visit the website: anonymous visit statistics (pages viewed, device type). We don't use advertising or tracking cookies.
Why we use it
- To reply to your enquiry and arrange a car (steps you ask us to take before a contract).
- To run your rental, take payments and meet our legal and insurance duties (contract and legal obligation).
- To understand which adverts work, so we spend sensibly (our legitimate interests).
Who we share it with
Only the service providers that help us run the business, under contract and only for that purpose: website and database hosting (Vercel, Supabase — data stored in the UK/EU), payments (Elavon), bookings and calendar (Cal.com, Google), and our insurers where needed. We never sell your information.
How long we keep it
Enquiries that don't lead to a rental are deleted within 12 months. Rental and payment records are kept for 6 years after the rental ends, as required for tax and insurance purposes.
Your rights
You can ask to see, correct or delete your information, object to how we use it, or ask us to stop contacting you. Email sales@thamesrental.co.uk. If you're unhappy with how we handle your information you can complain to the Information Commissioner's Office (ico.org.uk).
